Encryption is the baseline. You want your data encrypted:
- At rest, sitting on the provider’s disks
- In transit, moving between your machine and the cloud
Most reputable providers use AES 256-bit encryption for data at rest. The more meaningful distinction is whether encryption is zero-knowledge – that is, whether the provider holds a key that can decrypt your files. Google Drive, OneDrive and Dropbox do. MEGA and Sync.com do not, which means they cannot help you if you lose your password, and also cannot hand your files to anyone else in readable form.
Ask about durability too – the odds your data survives at all. Amazon S3 is designed for 99.999999999% durability. That is eleven nines, and it is the bar the rest of the market gets measured against.
User Access Rules
Controlling who holds the keys matters as much as the encryption:
1. Multi-Factor Authentication (MFA)
Don’t rely on passwords alone. Require a second factor, and require it for administrators without exception.
2. Role-Based Access Control (RBAC)
Grant access by role. Most people do not need access to everything, and most breaches involve credentials that had more reach than the job required.
3. Regular access reviews
Check who has access to what, on a schedule. Leavers who keep access are a standard audit finding.
This section previously opened with a claim that half of all businesses were hacked or attacked in the past year. There was no source behind it, so it is gone. The case for access control does not need a scary number.

Also understand the shared responsibility model before you sign anything: the provider secures the infrastructure, you secure your configuration, your accounts and your data. Speed and Uptime
Service Availability
Providers advertise uptime percentages. Do the arithmetic before you take comfort from them:
- 99.9% uptime = about 8.8 hours of downtime per year
- 99.99% = about 52 minutes
- 99.999% = about 5 minutes
An SLA is not a shield. Major providers have all had multi-hour outages while remaining within their annual SLA, and the service credit you receive will not cover what the outage cost you.
So read the SLA properly:
- What exactly does the uptime commitment cover – the whole service, or one component?
- How is downtime defined and measured, and by whom?
- What is the remedy, and do you have to claim it?
Also check backup and disaster recovery arrangements, incident notification, and how maintenance windows are scheduled and announced.
Server Locations
Where your data lives matters for three reasons:
Speed: Closer servers mean lower latency.
Resilience: More locations mean more places to fail over to.
Legal compliance: Some sectors and jurisdictions require data to stay within a region. Box addresses this with Box Zones, which pins data to a chosen region.
This article previously carried a table of region and availability-zone counts for AWS, Azure and Google Cloud. Those numbers were already out of date and go stale within months, so they have been removed. Check the providers’ own region pages when it matters to you; all three publish current lists.
When comparing, consider where your users are, what the provider’s network peering looks like, and whether you can choose the region at all – some consumer services do not let you.

RESTful APIs: The standard for cloud storage integration, widely supported.
SDKs and Libraries: Check the provider ships an SDK for the language your team writes in. Google Cloud Storage covers most of them.
Software Compatibility
Office Suites: OneDrive is tied into Microsoft 365; Google Drive into Google Workspace. If you already run one of those suites, that integration usually decides the question.
Productivity Tools: Dropbox has the widest third-party app ecosystem of the consumer-facing services.

Deduplication: Stores one copy of identical files, saving space and upload bandwidth. Useful if your team shares large documents.
Versioning is the feature people wish they had after a ransomware incident. Check how far back it goes and whether the retention window is long enough to cover the gap between infection and discovery, which is often weeks.
File History
Customizable Retention: The better backup services let you set how long versions are kept and at what granularity – frequent snapshots for recent days, sparser ones going back months. CrashPlan is the most configurable of the mainstream options.
Easy Access: OneDrive, Dropbox and Google Drive all make restoring a previous version a few clicks.
Space Management: Some services, including SpiderOak One Backup, offer unlimited versioning but count every version against your storage quota.

Consumer and small-business services almost always use subscriptions. Pay-as-you-go is standard for object storage aimed at developers, such as Amazon S3 and Azure Blob Storage. It can be cheaper when usage fluctuates and considerably more expensive when it doesn’t – set billing alerts on day one.
Specific prices previously listed here have been removed because they carried no date and no source. What is worth knowing instead is the shape of the market: 1TB consumer plans from the major providers cluster within a few dollars of each other annually, so the tiebreaker is usually which ecosystem you already use rather than price. pCloud is the notable structural exception, offering one-time lifetime plans that beat a subscription if you stay several years. hiveDisk sells large-capacity plans on a distributed storage model. Growth Costs
Tiered Pricing: Storage tiers are rarely proportional. The jump from a small tier to the next one up typically multiplies price by less than it multiplies capacity, which means the smallest tier is often the worst value per gigabyte.
Volume Discounts: Available at business scale, generally by negotiation rather than from the published rate card.
Hidden Fees: Egress – the charge for getting your own data out – is the one that catches people. Some object storage providers bill per gigabyte downloaded; some include egress in the base rate. If you routinely pull data back out, that single line can dominate the bill, and it is also what makes leaving a provider expensive.
An illustrative example of a growing firm’s costs previously appeared here, with a specific percentage increase over three years. It described no real company, so it has been removed. The mechanism is still worth planning for: storage grows monotonically because nobody deletes anything, and per-user business plans multiply that by headcount. Model your cost at three times today’s data and twice today’s team before you commit.
Be careful with “unlimited” plans. They usually come with a long commitment, a fair-use clause, or both.

Here’s a criterion people skip: will the company still be here in five years? Migrating terabytes because your provider folded is a miserable way to spend a quarter.
Microsoft’s own guidance on choosing a cloud provider makes the same point – look for a track record of stability and a financial position that supports operating over the long term. In practice: check how long they have operated, who owns them, whether they publish a roadmap, and whether they have raised prices sharply after acquisition.

Moving data and retraining a team is the part most buyers underestimate. Before signing, check for:

- Training resources for your team
