Xero is cloud accounting software for small and medium businesses and the accountants who work with them. It covers the everyday cycle — bank feeds in, transactions reconciled, invoices out, bills paid, reports produced — and connects to a large marketplace of specialist apps for the parts it does not do itself. Its most distinctive design decision is that every plan allows unlimited users, so bringing in a bookkeeper, an accountant or a second director costs nothing extra.

What you can actually do with it

Day to day, most small business owners spend their time in two places: reconciling the bank feed and chasing invoices.

  • Automatic bank feeds and reconciliation. Transactions arrive daily from connected bank and card accounts, and Xero suggests matches and coding rules so reconciliation becomes a short routine rather than a monthly slog.
  • Invoicing and getting paid. Branded invoices, recurring invoices, automatic payment reminders and online payment links through providers like Stripe, which measurably shortens how long you wait for money.
  • Bills and purchases. Capture supplier bills, schedule payments, and use built-in document capture so receipts and bills become transactions without manual typing.
  • Reporting for you and your accountant. Profit and loss, balance sheet, cash flow, aged receivables and customizable management reports, with a full audit trail your accountant can work in directly.
  • Projects, expenses and inventory. Track time and costs against jobs, handle staff expense claims, and keep simple stock items with quantities and costs.
  • Multi-currency and tax handling. Foreign currency invoicing and revaluation, plus sales tax and local tax reporting appropriate to your country’s edition.
  • A big app ecosystem. Hundreds of connected apps for payroll, point of sale, ecommerce, inventory, payments and reporting, which is how most businesses fill the gaps.

Who it fits best

Xero fits sole traders through to businesses of roughly fifty to a hundred staff, particularly service businesses, trades, ecommerce sellers, agencies and nonprofits. It is especially common in the UK, Australia and New Zealand, where accountant support is deep and the local tax and payroll features are most mature.

It is a strong choice if several people touch the books — an owner raising invoices, an office manager entering bills, an external bookkeeper reconciling — because unlimited users means you are not rationing logins. It is also worth asking your accountant first; working in the software they already use saves real money in fees.

Things worth knowing before you commit

  • Lower plans cap transaction volume. Entry-level plans limit how many invoices, quotes and bills you can enter per month. Count your typical month before choosing, because outgrowing a plan mid-year is common.
  • Payroll depends heavily on your country. Xero has full payroll in some markets and, in others such as the US, leans on partner payroll such as Gusto. Confirm what payroll actually looks like in your edition before switching.
  • Some features are add-ons. Projects, expense claims and advanced analytics are not automatically included on every plan, so the headline price may not be your real price.
  • Support is online, not phone-first. Help is largely through a knowledge base and email-style tickets. If you want to call someone when a tax return is due, check what you are getting.
  • Migration takes planning. Moving several years of history, opening balances and reconciled data across from another system usually needs a conversion service or an accountant’s help.

Alternatives to compare it against

QuickBooks Online is the closest comparison and dominant in the US, with deeper native payroll there but per-user seat limits. FreshBooks suits freelancers and service businesses whose main need is invoicing and time tracking rather than full double-entry accounting. Sage and other established vendors are worth a look if your accountant prefers them or if you need heavier inventory or job costing. And if your business is very simple, an invoicing tool plus a good spreadsheet may still be enough — although that stops being true the moment tax filing gets complicated.
