QuickBooks Payroll – now sold under the QuickBooks Workforce name – is the obvious candidate if you already keep your books in QuickBooks. Whether it is the right one depends on details this article now spells out.
In this post, we’ll cover what QuickBooks Workforce Payroll does, what it costs, and the two things that have changed recently and catch people out: the product name, and the end of QuickBooks Desktop Payroll.
A note on the prices below. Every figure was checked against Intuit’s own pricing page in August 2026, with the plan name and billing basis stated. QuickBooks payroll pricing is a monthly base fee plus a per-employee fee, and Intuit runs deep introductory discounts, so the headline number is rarely what you pay in month four. Where Intuit does not publish a rate, we say so rather than guess. Confirm the current number before you budget.

Does QuickBooks have a payroll system?
Yes. Note the naming, because it has changed and most comparison articles have not caught up. Intuit now markets payroll as QuickBooks Workforce, and on its public pricing page it sells payroll bundled with a QuickBooks Online accounting plan rather than as three standalone tiers called Basic, Enhanced and Premium. Those three names came from the old Desktop product line and no longer describe what you can buy.

Is QuickBooks phasing out payroll?
This section has been substantially rewritten. The previous version told readers that desktop payroll “remains active for now and the foreseeable future.” That is no longer true, and anyone acting on it would have been caught out.
Here is the current position:
- Intuit stopped selling QuickBooks Desktop payroll subscriptions to new customers after 31 July 2024.
- Intuit has since discontinued the service itself for affected Desktop versions. Per Intuit’s own discontinuation notice, payroll stopped functioning on 31 May 2026: paychecks no longer calculate taxes, and payroll can no longer be sent to Intuit for processing.
- Subscriptions are being deactivated, with prorated refunds for the unused portion.
- This affects the Basic, Standard, Enhanced and Assisted desktop payroll tiers. Assisted customers get special handling for 2026 tax filings.
- Intuit directs affected customers to QuickBooks Online or QuickBooks Desktop Enterprise.
So: QuickBooks payroll as a product is not going away, but the desktop version you may have been running is. If you are still on Desktop payroll, you are past the cut-off date and need a plan now, not later. Check your own version against Intuit’s discontinuation notice rather than trusting any third-party summary, including this one.
Can I do my own payroll with QuickBooks?
You can run payroll manually, but understand what you are taking on:

- Issuing paychecks or direct deposits
- Generating year-end tax documents (W-2s, 1099s)
Manual payroll requires meticulous record-keeping and an understanding of payroll compliance. You’ll need to stay on top of tax rates and regulation changes that vary by location. The failure mode is not a wrong paycheck; it is a late or wrong filing, and those carry penalties.
What the paid service does instead
- Automated tax payments: Payroll taxes are withdrawn and remitted on schedule.
- Direct deposit: Employees get paid without manual checks.
- Support: Payroll questions answered by Intuit’s support team.
- Tax penalty protection: Intuit advertises that it will pay up to $25,000 if you receive a penalty. Read that carefully – it is an indemnity with conditions and a cap, not a guarantee of 100% accuracy, which is how this article previously described it. Check which tier it comes with and what voids it before you rely on it.
Running payroll manually can work, particularly for one or two employees in a single state. It stops being sensible the moment you add a second state or a contractor mix.
What does QuickBooks payroll cost?
QuickBooks payroll is not free. On Intuit’s published pricing page, payroll is sold bundled with a QuickBooks Online accounting plan, and every bundle is a monthly base fee plus a per-employee fee:
- Workforce Payroll + Simple Start: $88 per month base, plus $6.50 per employee per month.
- Workforce Payroll + Essentials: $125 per month base, plus $6.50 per employee per month.
- Workforce Premium + Plus: $203 per month base, plus $10 per employee per month.
Intuit was running a 50%-off-for-three-months promotion when we checked in August 2026, which halves those base figures for the first quarter only. That promotional rate is where most of the low numbers quoted elsewhere come from.
Do the arithmetic for your own headcount before comparing. Ten employees on the entry bundle is $88 plus $65, or $153 a month at the standard rate – not the $6.50 that a per-employee figure on its own implies.
Two figures this article previously carried have been removed. A “$45/month base plus $4/employee” claim contradicted a “$6, $8 and $10 per employee” claim elsewhere in the same article, and neither matched Intuit’s page. Per-extra-state filing fees of $12 and $25 a month were also removed: Intuit did not display them on the pricing page we checked, so ask Intuit directly if you run payroll in more than one state, because multi-state is exactly where payroll pricing gets expensive.
QuickBooks Desktop Payroll pricing
There is no current pricing to quote. Desktop payroll is closed to new customers and the service has been discontinued for affected versions, as covered above. The “$99.99 base plus $39.99/month” and “$52.50 per month base fee” figures that used to appear here described a product you can no longer buy, and contradicted each other besides. Both have been removed.
Desktop vs. Online: what still matters
The old comparison is moot for anyone shopping now, because only the online product is sold. If you are migrating off Desktop, the differences that will actually bite are:
- Reporting – Desktop’s custom reports do not all have online equivalents. Check yours before you move.
- Integrations – Desktop-era add-ons may not have online versions.
- Data – Migration is not lossless. Verify year-to-date payroll totals after the move, before the next filing deadline.
What is actually free
Nothing in QuickBooks payroll is free beyond a 30-day trial. This section previously listed contractor payments, timesheets, mileage tracking and invoicing as “free payroll features”; they are features of paid QuickBooks Online accounting plans, not free payroll. Intuit does publish free payroll calculators and estimators on its site, which are genuinely free and useful for a sanity check.

Existing QuickBooks customers are the natural buyers because the bundle they are already paying for covers part of the base fee. If you do not use QuickBooks for accounting, price a standalone payroll provider before committing – the bundling is what makes this cheap, and it is also what makes it expensive if you only want payroll.
Who QuickBooks Payroll Is For
Payroll Solutions for Small and Mid-Size Businesses
QuickBooks Payroll suits small and mid-size businesses running payroll in-house. Direct deposit, tax payments, filings, and new hire reporting cover the standard workload, and time tracking and accounting sit in the same system. It ties into other business tools through the QuickBooks app marketplace.
QuickBooks Payroll for the Self-Employed and Freelancers
For independent contractors and solopreneurs, the useful parts are 1099 e-file and contractor payments. If you have no employees, you probably do not need a payroll subscription at all – contractor payment features are cheaper elsewhere in the QuickBooks range.
Non-Profits and QuickBooks Payroll
Non-profits run payroll like anyone else and QuickBooks handles it the same way; Intuit offers discounted QuickBooks Online subscriptions to eligible non-profits. A claim about a dedicated “nonprofit plan” with volunteer income tracking and donation letters has been removed from this section: donation letters are not a payroll feature, unpaid volunteers do not go through payroll at all, and we could not find such a plan on Intuit’s site.
